Appointments
Waitlist
The waitlist captures patients who want an appointment but cannot find a matching open slot, and notifies them when a match opens up.
How the waitlist works
A patient (or coordinator on their behalf) creates a waitlist entry with preferences: therapist, specialty, preferred branches, preferred days and times, and required duration. When a slot becomes available, flows.care looks for matching entries.
Adding waitlist entries
Coordinators add entries from Tenant > Waitlist. If the tenant has allow_patient_self_waitlisting enabled, patients can also add themselves through their portal — subject to max_waitlist_requests_per_patient.
Matching and notification
Matches are evaluated in FIFO order. The first matching patient is notified and given a confirmation window to claim the slot. If they decline or the window expires, the next match is notified.
