Cancellations
Cancellations free up the slot and (depending on your policy) may notify the next person on the waitlist. The cancellation policy enforces minimum-notice and rate limits.
Configure your cancellation policy
Tenant > Settings > Cancellation policy controls min_hours_before_start (how late a patient can cancel), max_cancellations_per_period and period_days (rolling rate limit), and patient_cancellation_mode (allowed / disabled / request).
Patient-initiated cancellations
When the policy is allowed, patients cancel from their portal subject to the rules above. When set to request, the patient submits a request and a coordinator approves or rejects it. When disabled, only coordinators can cancel.
Coordinator overrides
Staff with the cancel_appointment_anytime permission can bypass the minimum-notice and rate-limit rules — useful when a clinic-side issue (therapist illness, equipment failure) forces a cancellation.
